Sign-in and plans
Signing in
Section titled “Signing in”CensusIO signs you in with a link sent to your email, not a password. You enter your email, choose to send the link, and see Check your email. Open the message and choose the link to finish.
- The link does not work or says it expired. A sign-in link is good for a limited time. If too long has passed, return to the sign-in page and request a new one.
- You signed in but have no organization. A new account with no membership lands on onboarding. Create your organization there (a name and a short URL slug), optionally invite teammates, and you are in.
Creating an organization
Section titled “Creating an organization”The slug is the short name in your organization’s web address.
- “slug must be 3 to 50 lowercase letters, numbers, or hyphens”. Use only lowercase letters, numbers, and hyphens, between 3 and 50 characters, starting and ending with a letter or number. The field suggests one from your organization name; you can edit it.
- “that slug is already taken”. Slugs are unique across CensusIO. Choose another.
Plan limits
Section titled “Plan limits”Some features and amounts depend on your plan. Where one applies, CensusIO shows a short message with a way to see plans, rather than failing silently.
- Organization settings and team management are on paid plans. On the free tier the Settings page shows “available on paid plans” with a link to billing.
- Branding (your logo and accent color), the custom report builder, Esri/ArcGIS sync, and the OData/API data feed are on the Professional plan and above. Lower plans see an upgrade prompt in place of the control. KoboToolbox sync and the built-in reports are included on every plan.
- Data collectors (offline field collection with ODK Collect) are on every plan, capped per tier: 3 on Free, 15 on Watershed, unlimited on Professional and above. Past the cap, a message prompts you to upgrade or revoke one. Members who collect offline use their member seat, not a collector slot.
- Member seats: when you invite someone past your plan’s seat count, a message says your plan allows a set number of members and to upgrade to invite more. Active members plus pending invitations count toward the seat; a member on leave (suspended) does not, so pausing one frees their seat. Cancel a pending invite, pause a member, or upgrade.
- Records are unlimited on every plan, including Free. A system of record should not cap your data, so there is no per-year record limit. What scales with your plan is storage for photos and files (for example 5 GB on Free, 50 GB on Watershed, 500 GB on Professional; Agency and Enterprise are custom).
If a payment fails
Section titled “If a payment fails”If a card payment does not go through, we email your billing contact (or an organization owner) and give you time to fix it before anything changes. Updating your billing at any point restores full access and stops the sequence.
- Reminders. We email you when the payment fails and again about a week later, while your access continues as normal. (Agency and Enterprise plans, which are often paid by invoice, get a longer window.)
- Read-only. If it is still unpaid after about three weeks, the organization becomes read-only: you can view and export everything, but cannot create or change records, imports, or scheduled syncs. We email you when this happens.
- Cancelled. After about two months unpaid, the subscription is cancelled and the organization drops to the Free plan’s features. Your data is kept, and you can pick up where you left off by resubscribing.
- Scheduled for deletion. If a cancelled organization stays unpaid, its data is kept for 30 more days, then the organization is scheduled for deletion. An owner can still restore it from the dashboard during the recovery window. After that it is permanently removed and a certificate of destruction is recorded.
Invoice-billed Agency and Enterprise accounts are never deleted automatically; we follow up with you directly.
