The review workflow

A record is always in one of four states, and a small set of actions moves it between them.

The review workflow A record moves from Draft to In review when submitted, then to Approved when an admin approves it. Rejecting an in-review record sends it back to Rejected, from which it can be submitted again. Reopening an approved record returns it to In review. Flagging marks any record for a second look without changing its state. Submit a draft for review, approve it to make it official, or reject it to send it back. Reopen pulls an approved record back into review.
  • Draft: a new record. Still being entered or edited; not yet up for review.
  • In review: submitted and waiting for a reviewer.
  • Approved: signed off and official. Only approved records can be published.
  • Rejected: sent back for correction, with a reason.
  • Submit for review moves a draft (or a rejected record) into review. Anyone who can edit can do this.
  • Approve makes an in-review record official.
  • Reject sends an in-review record back. A reason is required, so the author knows what to fix.
  • Reopen pulls an approved record back into review when something needs another look.

Separately from the workflow, anyone who can edit can flag a record as suspect (and later remove the flag). A flag is a marker for “look at this again”, and it works in any state, so you can flag an approved record without un-approving it. Flagged records have their own filter.
