New submission alerts

The New submission alert emails the people you chose when a new record arrives. It is a light way to keep a lead or a regional coordinator aware that data is coming in, without their having to watch the records list.

It sends for the entry paths that arrive one record at a time:

  • a record entered on the web in CensusIO, and
  • a single record collected in the field and submitted to the collector.

The email’s subject names the survey type and your organization, for example New Creel survey record (Trout Unlimited), gives the survey type and the observer when one is recorded, and links to that survey type’s records.

Bulk paths do not send this alert. A spreadsheet import, a Kobo or ODK pull, or a large sync from the collector can bring in hundreds of records at once, and an email for each would be a flood. Those paths are excluded so the alert stays useful. If you want to know a bulk import landed, watch the records list or the import’s own summary instead.

In Settings, Notifications, check New submission, choose the roles and any extra addresses to notify, and choose Save.
